Streamlining the Onboarding Experience

Background

While aiAvenu's brand was developing, the company sought to broaden its services by introducing an onboarding automation software to streamline the entire hiring process end-to-end. At aiAvenu, I worked on all four features: Onboarding, Onboarding Setup, Form Builder, and Convert PDF. With the team, we have helped businesses onboard hundreds of employees.

Challenges

As part of aiAvenu's expansion efforts, I was responsible for designing an MVP onboarding software that could integrate seamlessly with their AI-powered ATS (Application Tracking System). I worked as the sole designer in an AGILE sprint with a team of developers with three months to launch.

Building a new product in an outdated system

aiAvenu's ATS platform is built in Laravel, which is limited. Due to these limitations, the team elected to use React. Although it was not ideal to have separate logins, we launched onboarding as a beta and are iterating on it before merging the software.

Authentication

Protecting sensitive employee data with two-factor authentication (2FA)

In the early stages of the design review with stakeholders, I suggested that we implement two-factor authentication. This is necessary since we're storing very sensitive information such as social security numbers and banking details. With this 2FA system, businesses and applicants will see the benefits and security of their data.

Results

Created an end-to-end hiring solution for individual franchises and multi-location organizations.  

Created a digital compliance system for legal documents such as W-4 and I-9. 

Gained traction among multiple large-scale organizations.

Reflection

I am pleased with the outcome of the final product, despite the challenges our team faced. With such a tight deadline, I am proud of the solution my team and I created. We're saving businesses thousands of dollars annually by them utilizing our onboarding product solution. Our competitors use HelloSign by Dropbox, which ultimately has a monthly fee for digitally signed documents. Since we've built these products in-house, we have more control over our product than our competitors.
